is actually costing you — by reason, by item.

Log every waste entry — spoiled stock, a prep mistake, a dropped dish — and billzova costs it automatically from your own recipes and inventory. Entries above your threshold need manager approval, and an on-demand AI summary points at what's actually driving the cost. ₹399/month, first month free.

The struggle

Sound familiar?

🗑️

Waste gets estimated, not tracked

Most restaurants guess at month-end how much was lost to spoilage and mistakes, instead of knowing the real number.

🤷

No idea which reason is actually costing the most

Spoilage, prep error, over-production — all lumped together in memory instead of broken down by what's actually driving the loss.

💸

The real ₹ cost of a wasted dish is hard to work out by hand

Costing a wasted finished dish means tracing back through its recipe's ingredients — not something anyone does manually, order by order.

🕵️

Big write-offs can go unnoticed

Without any review step, a large loss can get logged and forgotten instead of ever reaching a manager's attention.

How it works today

From a wasted item to a clear reason it happened

Waste is logged from your admin dashboard today — the same place you already manage inventory and review reports.

1

Log the entry

Pick the ingredient or dish, the quantity, a reason, and the stage of service it happened at — with an optional note or photo.

2

billzova costs it automatically

Raw ingredients are costed at your real cost per unit; finished dishes are costed from their actual recipe — no manual math.

3

Small entries clear instantly

Under your approval threshold, an entry is marked OK immediately — no bottleneck for routine, low-value waste.

4

Bigger entries wait for a manager

Above the threshold, the entry sits as pending until a manager or owner explicitly approves or rejects it.

5

Review the pattern, not just the total

Reports break the period down by reason, stage, item, and branch — and an on-demand AI summary can point at what's actually driving the cost.

Counted correctly

Raw ingredient waste and finished dish waste, both counted correctly

Waste doesn't only happen to raw ingredients sitting in storage — a fully cooked dish can be wasted too, after its ingredients have already been consumed. billzova logs both, and costs them correctly for what they actually are: a raw ingredient waste entry deducts that quantity from your stock immediately, the same way any stock adjustment does. A finished dish waste entry costs the dish from its real recipe, but does not deduct raw stock again — because those ingredients were already removed from stock when the dish was made or sold.

That distinction matters: without it, logging a wasted dish would either miss its real cost entirely, or double-count ingredients that were already accounted for elsewhere — either way, your stock ledger and your waste numbers would quietly stop agreeing with each other. billzova keeps them in sync by design.

Every reason, tracked separately

The 12 reasons behind every logged entry

Lumping every kind of waste into one number hides the pattern. Twelve specific reasons keep storage problems, kitchen mistakes, and supplier issues visible as separate, comparable totals.

Expired

Passed its shelf life before it could be used.

Spoiled

Went bad before its expiry — a temperature or handling issue.

Overproduction

More was prepared than was ordered or sold.

Prep Error

An ingredient was prepped incorrectly and became unusable.

Cooking Error

A dish came out wrong and had to be discarded.

Customer Return

Sent back by a customer after being served.

Dropped

Physically dropped or damaged during handling.

Supplier Reject

Rejected on arrival for quality before it entered stock.

Damaged in Storage

Damaged while stored — packaging, pests, or similar.

Unaccounted

Discovered missing during a stock count, with no clear cause.

Staff Meal

Given to staff — tracked honestly rather than hidden or ignored.

Other

A known reason that doesn't fit any of the other eleven.

Where in service it happened

The 5 stages waste is logged against

Storage

Before anything is touched — sitting in the fridge, freezer, or dry store.

Preparation

While ingredients are being prepped ahead of cooking.

Cooking

During actual cooking — a burnt or spoiled batch, for example.

Service

After a dish is ready but before or during it reaching the table.

Post-Service

After service — a returned or uneaten dish, for example.

Who it's for

Most valuable wherever food cost is tight

High-volume kitchens

More covers means more chances for prep and cooking mistakes to add up unnoticed without a real record.

Perishable-heavy menus

Seafood, dairy, and fresh produce spoil fast — knowing exactly how much and why is the first step to buying closer to what you actually use.

Buffet & all-you-can-eat formats

Overproduction is a structural risk in this format, and it's exactly one of the twelve reason codes tracked here.

Multi-branch operators

Branch-wise reporting shows you which location's waste actually needs attention, instead of one blended number.

Detailed Logging

12 real reasons, 5 real stages — not just a total

Every entry is logged against one of twelve specific reasons (expired, spoiled, overproduction, prep error, cooking error, customer return, dropped, supplier reject, damaged in storage, unaccounted, staff meal, or other) and one of five service stages (storage, preparation, cooking, service, post-service), plus an optional note and photo.

  • 12 specific waste reason codes
  • 5 stages: storage through post-service
  • Optional note and photo per entry
  • Optionally linked to an order or purchase order
  • Covers both raw ingredients and finished dishes

Real Cost, Not a Guess

Auto-costed from your own recipes and inventory

A wasted raw ingredient is costed at quantity × your actual cost per unit. A wasted finished dish is costed from the same recipe data used for food-cost control — the real ingredient cost that went into making it, not an estimate.

  • Raw-material waste: quantity × real cost per unit
  • Dish waste: costed from its actual recipe ingredients
  • Same costing engine as Recipe Costing
  • Raw-material entries deduct stock automatically
  • Dish entries never double-deduct already-consumed stock

Manager Oversight

Small entries auto-clear, big ones need a real look

Set your own approval threshold — ₹500 by default. Entries under it are automatically marked OK; anything above it sits as pending until a manager or owner explicitly approves or rejects it, so a large write-off can't just slip by unnoticed.

  • Configurable approval threshold, ₹500 by default
  • Small entries auto-clear, no bottleneck for minor waste
  • Larger entries held pending for manager review
  • Only owner or manager can approve or reject
  • Optional monthly waste-percentage target

FAQ

Frequently asked questions

What is billzova's waste tracking feature?
A way to log every waste entry — a spoiled ingredient, a prep mistake, a dropped dish — with a real cost automatically calculated from your own recipes and inventory, plus a reason, a stage of service, and an optional photo, so waste stops being a month-end guess.
What reasons can I log waste under?
Twelve real categories: expired, spoiled, overproduction, prep error, cooking error, customer return, dropped, supplier reject, damaged in storage, unaccounted, staff meal, or other.
What stage of service can waste happen at?
Five stages are tracked: storage, preparation, cooking, service, and post-service — so you can see whether waste is concentrated at receiving, in the kitchen, or after food has already reached a table.
Does every waste entry need manager approval?
No. Entries under your restaurant's approval threshold are automatically marked OK. Only entries above the threshold are held as pending until a manager or owner approves or rejects them.
What's the default approval threshold, and can I change it?
The default is ₹500 per entry. It's a setting you control — raise or lower it to match how closely you want to review waste at your restaurant.
How is the cost of a wasted entry calculated?
For a raw ingredient, it's the quantity wasted multiplied by that ingredient's cost per unit. For a finished dish, it's calculated from the same recipe costing used elsewhere in billzova — the actual ingredient cost that went into making that dish.
Does logging raw-material waste affect my stock count?
Yes. A raw-material waste entry immediately deducts the wasted quantity from your stock and records a stock movement, in the same transaction — your waste log and your stock ledger can never disagree.
Does logging a wasted finished dish double-count against my ingredient stock?
No. A finished dish's ingredients were already deducted from stock when the dish was made or sold, so logging that dish as waste records its cost without deducting raw stock a second time.
Can I attach a photo to a waste entry?
Yes, a photo is an optional part of every waste entry.
Can I link a waste entry to a specific order or purchase order?
Yes. An entry can optionally reference the order or purchase order it relates to, for extra context when reviewing it later.
What is the AI insights feature?
An on-demand, plain-English summary of what's actually driving your waste cost over a chosen period, with a concrete suggestion for reducing it — generated by AI from your real logged entries.
Does the AI summary run automatically?
No, it's generated on demand when you ask for it, not automatically on every dashboard visit — you choose when to generate or regenerate it.
Can I see waste broken down by reason or by stage?
Yes. Reports break total waste cost down by reason code and by stage of service for any period you choose.
Can I see which specific items are wasted the most?
Yes, a top-items report ranks the ten highest-cost wasted items — ingredients or dishes — for the period.
Does it break waste down by branch?
Yes, for restaurants with more than one branch, waste cost is also reportable branch by branch.
Who can log a waste entry today?
Owners and managers log waste entries from the admin dashboard today — the same place you already review reports and manage inventory.
Who can approve or reject a waste entry?
Only the restaurant owner or a manager can approve or reject a pending waste entry.
Can staff on the floor log waste directly from the POS terminal?
Not yet. Waste logging currently lives in the admin dashboard, used by owners and managers — it isn't yet available directly from the POS billing screen for floor or kitchen staff to log in the moment. That's on the roadmap.
Is there a monthly waste target I can set?
Yes, an optional monthly waste-percentage target is part of the same policy setting as your approval threshold.
Is waste tracking included in the ₹399/month plan?
Yes, it's a standard part of billzova, not a separate paid add-on.
Can I see a full list of every waste entry, not just the summary?
Yes. The Waste page lists every logged entry individually — item, quantity, reason, stage, cost, and approval status — alongside the summary reports.
Can I delete a waste entry if it was logged by mistake?
Yes, an owner or manager can delete a waste entry.
Can I edit a waste entry after logging it?
There's no separate edit step today — if an entry was logged incorrectly, delete it and log a corrected one.
How far back can I view waste reports?
Reports can cover any period up to a full year (365 days) in a single view.
Does the approval threshold apply per branch, or restaurant-wide?
Restaurant-wide. One approval threshold and one monthly target apply across your account, not configured separately per branch.
Does waste tracking work offline?
Waste is logged and reviewed through the admin dashboard, which needs an internet connection — separate from your Windows POS app's own offline billing.
Is waste tracking connected to recipe costing?
Yes. A wasted dish is costed using the exact same ingredient-cost data as billzova's Recipe Costing feature — there's no separate, disconnected cost figure to maintain.
What happens if I never set my own approval threshold?
It defaults to ₹500 per entry automatically, until you choose to change it in the waste policy setting.
Is a waste entry's cost locked in, or does it change if ingredient prices change later?
It's locked in. The cost is calculated and stored on the entry the moment it's logged, so a later change to an ingredient's price never retroactively alters a past waste entry's recorded cost.
Can I use a monthly waste target to judge how I'm doing?
Yes. Set a monthly waste-percentage target as part of your policy, and compare it against your actual reported waste for the period.
Does the waste feature require setting up recipes first?
To log dish-level waste with a real cost, yes — the dish needs a recipe defined with its ingredients, the same requirement Recipe Costing has. Raw-ingredient waste only needs the ingredient itself to exist in inventory.
What's the difference between "unaccounted" and "other" as a reason?
"Unaccounted" is for waste discovered during a stock count with no clear explanation — a genuine unknown. "Other" is for a known reason that just doesn't fit any of the other eleven categories.
Can I track staff meals as a form of waste, or should I ignore them?
Staff meal is its own dedicated reason code, specifically so that food given to staff is tracked separately and honestly, rather than hidden inside a generic waste number or left untracked entirely.
Does approving or rejecting a waste entry notify anyone?
The approval status is visible on the entry itself in the waste list — there's no separate notification system layered on top of it today.
Can I export waste data for my accountant?
Waste reports break totals down by reason, stage, item, and branch on-screen for any period — the same way billzova's other reports are built to be reviewed and shared.
Does a rejected waste entry still count against my inventory?
A raw-material entry's stock deduction happens at the moment it's logged, independent of its later approval outcome — approval and rejection govern whether the entry is flagged as reviewed, not whether the stock movement already happened.
What restaurant types benefit most from tracking waste by stage as well as reason?
Any kitchen where it matters whether losses happen at receiving, in prep, or after a dish reaches the table — knowing both the reason and the stage together points you toward the right fix, rather than just a total to feel bad about.
Is waste tracking useful for a single-counter restaurant, or only larger operations?
It's useful at any size — even a single counter benefits from knowing whether losses are concentrated in storage, prep, or service, though the branch-comparison report specifically matters more once you have more than one location.
Does the AI summary see my whole restaurant's data, or just waste entries?
It's generated specifically from your logged waste entries for the period you choose — not your full sales, billing, or customer data.
Can I compare this month's waste cost to last month's?
Reports are pulled for whatever period you choose, so running the same report for two different date ranges and comparing the totals is how you'd track that trend today.
Does billzova recommend how much waste is "normal" for a restaurant?
No fixed benchmark is built in — the monthly waste-percentage target is one you set yourself, based on what's realistic for your own menu and operation, and the AI summary works from your own historical entries rather than an industry-wide number.
Can more than one manager log or approve waste entries?
Yes — any user with the owner or manager role, or the specific waste permission if it's been granted individually, can log or approve entries, not just one designated person.
